Double-booking a consultation room, scheduling a procedure without checking that the relevant equipment is available, discovering that the ultrasound machine is being serviced the day you booked a prenatal scan — these are operational failures that frustrate staff, inconvenience patients and damage clinical reputation. Room and Equipment Scheduling in Looms prevents them.
Setting up resources
Clinic administrators define the clinic's physical resources: consultation rooms, procedure rooms, imaging equipment, infusion chairs and any other bookable asset. Each resource can be assigned to specific appointment types — so a consultation room is only linked to consultation bookings, and the ECG machine is only linked to cardiology appointments.
Conflict detection
When an appointment is booked, Looms automatically checks whether the required resources are available for the appointment duration. A conflict — another appointment already using that room or piece of equipment — is flagged before the booking is confirmed, not after.
Resources can be marked as out of service for maintenance periods, which automatically prevents booking during those windows.
Utilisation reporting
Resource utilisation data is visible in the Clinic 360 Analytics section — showing which rooms and equipment are consistently overbooked, which are underutilised and whether capacity matches demand patterns by time of day and day of week.
