The financial operations of a medical clinic are complex: invoices that span insurance, cash payment and installment plans; refunds for cancelled appointments; revenue that must be attributed correctly across multiple doctors and service categories. The Looms Finance module brings all of that into a single, integrated system.
Invoicing
Create invoices directly from completed appointments — service items are pre-populated from the appointment record. Invoices can include multiple line items, discounts and tax. Once issued, patients receive the invoice via the Looms app and can pay online immediately.
Online payments
Payment is processed via Stripe, supporting all major credit and debit cards. Payment status updates automatically in the clinic's Finance view — no manual reconciliation required. Payment receipts are issued automatically to the patient.
Installment plans
For large invoices — dental treatment plans, fertility packages, weight management programmes — clinics can offer structured installment plans. The patient agrees to the schedule at the time of the appointment, and subsequent installments are automatically invoiced and paid on the agreed dates. Reminder emails go out three days before each installment is due.
Financial reporting
Monthly and annual financial summaries, payment method breakdowns and outstanding invoice ageing reports are all available in the Reporting section. All financial data can be exported to CSV for your accounting software.
